About Our Firm

Crow Estate Planning & Probate, PLC is a reputable and fast-growing estate planning law firm with offices in Clarksville, TN, Nashville, TN, and Hopkinsville, KY. Our mission is to provide our clients with exceptional legal services in the areas of estate planning, probate, conservatorships, and business planning. We currently have 17 employees, including 5 attorneys and a CPA on staff. As we continue to expand our reach in major metropolitan areas across the southeast, we are seeking a dynamic and experienced Chief Operating Officer (COO) to join our team and drive our growth.

Our Clientele

Our typical client is 50 years old or older, primarily female, a grandparent, on the conservative side, and has retired or is about to retire. They rightfully expect a high level of client service, personal attention, and superior expertise. Our goal is to provide an excellent customer experience for the client and build our relationship with them to better understand their goals and the legacy they seek to protect.

Job Summary

The Chief Operating Officer (COO) will play a critical role in the development and execution of our strategic growth plan, implementing efficient systems and processes to streamline our overall operation of the firm. The ideal candidate will have prior experience in the professional service industry and a strong understanding of the legal landscape. The COO will report directly to the owner and collaborate closely with the leadership team.

Key Responsibilities

Financial Oversight and Management:

  • Develop and manage the firm's financial strategy, including long-term budgetary planning and cost management in alignment with the firm’s strategic plan.

  • Oversee the preparation and approval of all financial reporting materials; prepare and communicate monthly and annual financial statements.

Human Resources Management:

  • Develop and implement HR strategies and initiatives aligned with the overall business strategy.

  • Bridge management and employee relations by addressing demands, grievances, or other issues.

  • Manage the recruitment and selection process, including developing job descriptions, overseeing the hiring process, and ensuring a strong talent pipeline.

  • Oversee employee benefits plans, ensuring they are competitive

Risk Management:

  • Identify and manage business risks and legal liabilities, particularly those unique to the legal industry.

  • Implement and oversee risk management policies and programs to ensure that the firm's practices remain compliant with current laws and regulations.

Technology and Infrastructure:

  • Oversee the firm’s technology infrastructure, ensuring that the firm's technological resources meet its short- and long-term needs.
  • Drive decisions regarding investments in new technology or infrastructure upgrades to improve efficiency and service delivery.

Customer Service Excellence:

  • Develop and implement strategies for enhancing client satisfaction and loyalty.

  • Ensure the delivery of high-quality legal services and advise on managing complex client matters.

Marketing and Public Relations:

  • Oversee the firm's branding and marketing strategies, including digital marketing and community outreach.

  • Act as a spokesperson for the firm in public settings, enhancing the firm's visibility and reputation in the legal community.

Operational Efficiency:

  • Continuously evaluate the efficiency of business procedures according to organizational objectives and apply improvements.

  • Oversee daily operations of the firm and the work of the staff.

  • Work with attorneys in a supportive role for their practices, ensuring they have needed resources to ensure their success.

Strategic Planning and Implementation:

  • Play a significant role in long-term planning, including initiatives geared toward operational excellence.

  • Translate the company strategy into actionable goals for performance and growth.

Qualifications

Education: A Bachelor's degree in Business Administration or a related field is required. An MBA or JD is strongly preferred, as it demonstrates a deeper understanding of business and legal concepts.

Experience: A minimum of 10 years of progressive management experience is required, with at least 5 years in a leadership role. Prior experience in the professional service industry, particularly in the legal sector, is strongly preferred.

Strategic thinking: Demonstrated success in developing and implementing growth strategies for a professional services organization, with a proven track record of achieving business objectives.

Operational management: Proven experience in establishing and managing operational systems, SOPs, and compliance initiatives, as well as optimizing workflows and processes for improved efficiency.

Financial acumen: Strong financial management skills, including experience in budgeting, forecasting, and financial analysis to ensure the firm's financial stability and growth.

Business development: Experience in identifying and evaluating new business opportunities, strategic partnerships, mergers, and acquisitions to drive growth and diversification.

Talent management: Experience in overseeing talent acquisition, training, and development initiatives to attract, retain, and develop top talent.

Change management: Ability to drive a culture of continuous improvement, innovation, and collaboration, as well as manage organizational change during periods of growth and expansion.

Communication and interpersonal skills: Excellent communication, negotiation, and presentation skills, with the ability to effectively engage with internal and external stakeholders, inspire and motivate teams, and articulate the firm's vision and goals.

Industry knowledge: A strong understanding of the estate planning and probate law landscape, including familiarity with relevant regulations, best practices, and industry trends.

Adaptability and resilience: The ability to adapt to changing circumstances, manage competing priorities, and navigate the challenges associated with rapid growth and expansion.

Networking and relationship building: Proven experience in building and maintaining strategic relationships with clients, partners, and industry stakeholders to enhance the firm's reputation and reach.

Familiarity with markets in the Southeast is a plus.

Problem-solving skills: The candidate must be able to identify challenges and opportunities, and develop practical, effective solutions to achieve the firm's marketing goals.

Results-oriented mindset: The candidate should be focused on achieving measurable results and be able to demonstrate a track record of success in previous marketing roles.
