The Director, Chief of Staff position supports and partners with the Chief Investment Officer (CIO) to manage the work of the Executive and team. This role will work proactively to prioritize tasks, manage plans and calendars, and anticipate needs of the Executive.  This role will assist in project and capacity management of the team. It also leads the preparation and coordination of presentation materials and follow up action items for team meetings.
This position reports to the Chief Investment Officer and supports the Investments team. This role will directly manage the Executive Assistant / Office Administrator who also supports the Investments team and the NY Office.
• Manages and organizes the Executive’s daily and weekly activities. This includes email inbox management and prioritizing immediate and high priority tasks..
• Works closely with the Executive to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Has a sense of challenges, priorities or issues taking place in the environment and keeps the Executive updated. Anticipate the Executive’s needs in advance of meetings or upcoming activities.
• Schedules project meetings, creates project plans, takes meeting minutes and tracks meeting discussions and next steps..May assist in helping leadership coordinate the work of others.
• Leads the coordination of capacity management of the Investment team.
• Works with leadership to manage the annual plan for BAU and project work. Ensures effective prioritization and execution of the work of the team.
• Has direct responsibility over  senior leadership & team meetings to ensure productive and efficient meetings, including setting agenda, taking notes and summarizing key takeaways, and follow-ups and next steps.
• Leads setting of the agenda, preparation and timely delivery of materials for various internal and external meetings, quarterly earnings calls Investment Committee meetings, and Quarterly Investment Deep Dives
• Develops systems and processes to ensure efficient and effective communication across the Investment team
• Lead the development of the department budget including ongoing monitoring/forecasting to ensure expense targets are met and managed
• Proactively identifies opportunities for improving internal processes and recommending solutions.
• Develops documentation of process for critical work activities of the team.
• Creates an effective process for onboarding and offboarding of new employees.
• Provides leadership and coaching to the Executive Assistant / Office Administration. Provides direction of work and ensures the Investments team has effective support. Helps to maintain awareness and promote emergency, security and safety policies important for the NY office.
• Acts as a liaison to others in the organization on behalf of the CIO.
• Acts as a point of contact between teams and projects to help coordinate meetings and presentations
Experience and Education Requirements
• Bachelor’s degree
• 8 years experience in corporate work environment
• Prior project management experience required
• Prior work experience in Chief of staff Role preferred

• Be able to work independently and be able to operate efficiently in unpredictable and challenging project environments
• Understand objectives of work assigned in order to revise/adjust workload to address and prioritize immediate needs
• Ability to handle confidential information
• Ability to think and work proactively
• Ability to develop creative solutions to everyday tasks and adapt effectively to unexpected circumstances
